InvoiceChief Privacy Policy

Effective date: October 25, 2026 Last updated: October 29, 2026

This Privacy Policy explains how INVOICECHIEF LLC ("InvoiceChief", "we", "us", "our") collects, uses, shares and protects information when you use the InvoiceChief website at invoicechief.com, the InvoiceChief mobile apps for iPhone and Android, and related services (together, the "Service").

InvoiceChief is a tool for small businesses and independent professionals to create invoices and estimates, track jobs and customers, record payments, and share documents with their clients.

Who we are INVOICECHIEF LLC, a Florida limited liability company Privacy and support contact: support@invoicechief.com

1. Summary

  • We collect the information you put into InvoiceChief so the app can work: your account, your business details, your customers, and your invoices, estimates, jobs and photos.
  • We do not sell your personal information. We do not "share" it for cross-context behavioral advertising. We do not show ads.
  • We use trusted service providers (hosting, database, email delivery and, when you buy a plan, payment processors) only to run the Service.
  • You can see, edit and delete your information, and you can delete your account (see Section 9).
  • InvoiceChief is for adults using it for business. It is not intended for children.

2. Information we collect

2.1 Information you give us

Account information

  • Email address and password. Your password is stored by our authentication provider in a protected (hashed) form; we cannot see it.
  • Language preference (English or Spanish) and notification preferences.

Business information

  • Business name, logo (and earlier logo versions), address, email, phone numbers and website.
  • Document settings: invoice and estimate numbering, templates, currency, payment-method labels and instructions you choose to show on documents, the signature agreement text, email message templates and default notes.
  • If you use review requests, the Google review link you enter.

Information about your clients (customers)

  • Names, company names, email addresses, phone numbers, addresses and notes that you enter about your own customers.

Your work content

  • Invoices, estimates, line items, prices, taxes, discounts, notes and terms.
  • Jobs and job notes, saved items (your item library), and private job-cost entries.
  • Payments you record manually (amount, date, method, notes). InvoiceChief does not currently process your clients' card payments; these records are entered by you.
  • Photos you attach to documents (for example, job-site photos). The app only accesses photos or the camera when you choose to add a photo, and your device asks for your permission first.
  • Saved copies ("snapshots") of documents as they were sent or signed, so the record does not change later.

Feedback and support

  • Bug reports, improvement suggestions, comments and votes you submit in the app, and emails you send us.

2.2 Information from your clients when they use your shared links

When you share an invoice or estimate, your client opens it through a private link. We record:

  • That the document was delivered, opened or viewed, and when.
  • If your client signs: the name they type, the signature they draw (stored as an image), the agreement text shown to them, and the date and time.

We do not ask your clients to create an account.

2.3 Information collected automatically

  • Basic usage and performance statistics. Our hosting provider gives us aggregate visit statistics such as pages viewed, referring website, browser and device type, approximate location (country or city, derived from the IP address), and page-load speed. This uses a session identifier stored in your browser. We use it only to understand overall use and improve performance, not for advertising.
  • Error reports. When something breaks, technical details (such as the error message, the page where it happened, browser type and time) are sent to our hosting provider so we can fix it.
  • Security and server logs. Our providers process IP addresses and request information to deliver the Service and protect it from abuse. Our network provider sets a strictly necessary security cookie to tell people apart from bots.
  • Mobile app. Our mobile app provider records anonymous install and device counts (for example, device type and operating system version). If you allow notifications on your phone, a device push token is stored so notifications can be delivered; you can turn notifications off at any time in your phone's settings.

We do not use advertising identifiers, we do not track you across other companies' apps or websites, and we do not collect your precise location.

2.4 Purchases

If you buy a paid plan:

  • In the iPhone or Android app, the purchase is handled by Apple (App Store) or Google (Google Play). We do not receive your card number. We receive information about the purchase, such as the plan, purchase and renewal dates, and subscription status. We may use RevenueCat, a subscription-management service, to receive and check this information.
  • On our website, the payment is handled by Stripe. Stripe collects your card details directly; we do not receive or store your full card number. We receive a customer identifier, the plan, payment status and billing dates.

3. How we use information

We use information to:

  1. Provide the Service: create your account, sign you in, store your work, generate documents and links, send documents and emails you ask us to send, and show you your history.
  2. Process plans and purchases: confirm what plan you have and apply its features and limits.
  3. Send service messages: sign-up and password emails, security notices, receipts or plan notices, and notifications about your documents (for example, when a client views or signs). These are not marketing.
  4. Support you: answer questions and handle bug reports and suggestions.
  5. Keep the Service secure: prevent fraud, spam and abuse, and enforce our Terms of Service.
  6. Improve the Service: understand overall usage and fix errors.
  7. Comply with law: meet legal, tax and accounting obligations and respond to valid legal requests.

We do not use your information, or your clients' information, for advertising, and we do not use the content of your documents to train artificial-intelligence models.

If we ever want to send you marketing emails, we will only do so where permitted by law, and every marketing email will include an unsubscribe link.

4. Emails sent for you

When you send an invoice, estimate or review request by email through InvoiceChief, we send the email on your behalf to the address you enter. The email shows your business name and content. We keep a delivery log (recipient, time and delivery status) to show delivery and to handle bounces. If a recipient unsubscribes or an address bounces, we keep that address on a suppression list so we do not email it again.

When you share by text message, WhatsApp, or your phone's share menu, the message is sent by the app you choose on your device, not by us, and that app's own privacy policy applies.

5. How information is shared

We share information only as described here:

Apple and Google. If you download the app or buy a plan through the App Store or Google Play, Apple or Google handle that download and payment under their own privacy policies.

The people you choose to share with. When you send or share a document, the recipient (and anyone they forward the private link to) can see that document, including your business details, the line items, attached photos and any signature. Treat document links like the document itself.

Legal reasons. We may disclose information if we believe in good faith that it is required by law, a court order or a valid government request, or needed to protect the rights, safety or property of our users, the public or InvoiceChief.

Business transfers. If InvoiceChief is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

With your consent. In any other case, only if you ask us to or agree.

We do not sell personal information and we do not share it for cross-context behavioral advertising. Because we do not sell or share, we treat browser "Global Privacy Control" signals as already honored.

6. Your clients' information

When you enter information about your own customers, you decide what to collect and why. For that information, you are responsible for having the right to use it and for meeting any obligations to your customers, and we process it on your behalf to provide the Service. If one of your customers asks us about their information, we may refer them to you.

7. How long we keep information

  • Account and business content: for as long as your account is active. When you delete your account, we delete it as described in Section 9.
  • Shared document links: stop working when the document or your account is deleted.
  • Email delivery logs: kept for a limited period to support delivery and troubleshooting, and deleted with your account.
  • Email suppression list (unsubscribed or bounced addresses): kept so we keep honoring the request, even after an account is deleted.
  • Purchase and billing records: kept as long as required for tax, accounting and legal purposes. Apple, Google and Stripe also keep their own records.
  • Feedback: suggestions may be kept after your account is deleted, with your name and email removed.
  • Backups: deleted data may remain in encrypted backups for a limited time until those backups are overwritten on their normal schedule. We do not restore deleted accounts from backups except where required by law.
  • Usage statistics and error reports: kept by our hosting provider for a limited period in line with its retention settings.

8. Security

We use reasonable administrative, technical and physical safeguards, including:

  • Encryption in transit (HTTPS/TLS) for all connections.
  • Hashed passwords handled by our authentication provider.
  • Database access rules so each account can reach only its own data.
  • Hard-to-guess private links for shared documents.
  • Limited access to production systems.

No method of transmission or storage is 100% secure. Please use a strong, unique password and keep your device secure. If a data breach affects your personal information, we will notify you and the authorities as required by law, including Florida law (Fla. Stat. § 501.171).

9. Your choices and rights

Access and correction. You can view and edit most of your information at any time in the app (Settings, Customers, Invoices, Estimates and Jobs).

Copy of your data. You can download a copy of your data at any time in the app: open More → Settings → Export data to get a .zip file with your invoices, estimates, payments and customers as spreadsheet (CSV) files. You can also download any invoice or estimate as a PDF.

Delete individual items. You can delete documents, customers, items and photos in the app.

Delete your account.

  • In the app: open More → Settings → Delete account, type DELETE (or ELIMINAR in Spanish) and tap Delete my account.
  • By email or on the web: follow the instructions at invoicechief.com/support#delete-account, or email support@invoicechief.com from the email address on your account with the subject "Delete my account". We may ask you to confirm the request so we know it is really you.

What happens when you delete your account:

  • Deleting your account is permanent and cannot be undone. Before you delete, you can download your data with Export data (see above).
  • You are signed out right away and can no longer sign in. Your account and data are hidden at once, and links you shared stop working.
  • Within 14 days, your account and its data are permanently erased: your business profiles, customers, invoices, estimates, jobs, items, payment records, photos, logos, signatures, notifications and settings.
  • We keep only the limited information described in Section 7 (for example, purchase records we must keep by law and the email suppression list).
  • Deleting your account does not cancel a subscription bought through Apple or Google. Cancel it first in your App Store or Google Play subscription settings (see our Support page). Website subscriptions are cancelled automatically when the account is deleted.

Emails. You can unsubscribe from any non-essential email using the link in it. We will still send essential service messages (for example, password resets).

Phone permissions. You can turn off camera, photo and notification access in your phone's settings at any time.

California residents. California law gives residents rights to know, access, correct and delete personal information, and to opt out of the sale or sharing of personal information. We do not sell or share personal information and we do not use or disclose sensitive personal information for purposes that would require a right to limit. You may use the rights above by emailing support@invoicechief.com; you may also use an authorized agent. We will not discriminate against you for using your rights. In the last 12 months we collected the categories described in Section 2 (identifiers such as name, email and account ID; customer records; commercial information such as plan purchases; internet activity such as usage statistics; approximate location; and photos you upload) for the purposes in Section 3, and disclosed them only to the categories of recipients in Section 5.

Other U.S. states. If your state gives you similar privacy rights, contact us and we will honor them as your state law requires. If we deny your request, you may appeal by replying to our decision; we will respond to the appeal within the time required by law.

European Economic Area, United Kingdom and Switzerland. If these laws apply to you:

  • We process your information to perform our contract with you (providing the Service), for our legitimate interests (security, fixing errors, improving the Service and understanding overall usage), to comply with legal obligations, and with your consent where required.
  • You have the right to access, correct, delete, restrict or object to processing, to data portability, and to withdraw consent at any time.
  • You may complain to your local data protection authority.
  • Your information is processed in the United States and other countries. Where required, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses included in our providers' data processing terms.

We respond to requests within 30 days, or within any shorter time required by law.

10. Children

InvoiceChief is a business tool for adults. You must be at least 18 years old to create an account. We do not knowingly collect personal information from children under 13 (or under 16 where that age applies). If you believe a child has given us information, email support@invoicechief.com and we will delete it.

11. Cookies and similar technology

We use only:

  • Strictly necessary storage to keep you signed in, remember your language and keep the Service secure (including our network provider's security cookie).
  • Basic statistics storage used by our hosting provider for aggregate usage and performance statistics (Section 2.3).

We do not use advertising cookies or third-party tracking pixels. You can clear cookies and site data in your browser; if you do, you will need to sign in again.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version on this page and update the "Last updated" date. If a change is material, we will also tell you in the app or by email before it takes effect.
