HVAC invoice template for service, repair and equipment replacement
HVAC invoicing has a problem plumbing does not: the equipment outlives the invoice. A homeowner making a warranty claim three years from now, or a technician returning to the same rooftop unit next season, needs the make, model and serial written down. This page shows how to lay out an HVAC invoice so it works as a service record as well as a bill.
What an HVAC invoice has to carry
- Equipment identity. Make, model number and serial number for the condenser, air handler, furnace or package unit you touched. Put it in the customer message or a line description so it stays on the printed invoice.
- Diagnostic fee. Separate from the repair, so a customer who declines the repair still sees what the visit bought them.
- Measured readings. Suction and liquid pressures, superheat or subcooling, static pressure, temperature split — brief, but they justify the diagnosis.
- Refrigerant by type and weight. Which refrigerant, how many pounds, and whether a leak search was performed.
- Parts versus equipment. A capacitor, contactor, igniter or blower motor is a part; a condensing unit or furnace is equipment and usually deserves its own line plus its own install labor line.
- Labor with technician count. Two-tech crane or attic work is billed differently from a single-tech capacitor swap; show it.
- Maintenance agreement work. Show the covered visit at its normal value and the agreement credit as a discount, so the customer sees the benefit they are paying for.
- Warranty status. Whether the part was under manufacturer parts warranty, and what your own labor warranty covers.

Example notes and terms
“Net 15. Parts supplied by us carry a 1-year replacement warranty; labor is warranted 90 days from the service date. Refrigerant added is not warranted against future leaks — a full leak search and repair was quoted separately.” Replace with the terms your company actually offers.

Deposits on equipment changeouts
Take a deposit against the equipment order, record the payment, and the invoice shows the remaining balance due rather than the full contract amount.
